NORLA (Norwegian Literature Abroad)

I. DATA CONTROLLER

The CEO, on behalf of NORLA, is the Data Controller for personal data processed by the company.
All employees who report to the Data Controller have access to the personal data. Only the Data Controller has access to personal data relating to job applicants.

II. WHAT PERSONAL DATA DO WE STORE?

We store the following personal data relating to:
1. Employees and job applicants: Name, gender, address, telephone number, email address, personal identity number and account number, other necessary tax information, CV.
2. Translators of Norwegian literature resident in Norway or abroad: Name, address, telephone number, email address, personal identity number, account number, organisation number, gender.
3. Norwegian authors resident in Norway: Name, address, telephone number, email address, personal identity number if necessary, account number, organisation number, gender.
4. Employees of publishing houses, festivals, trade fairs and other external partners and other relevant contacts: Name, title, workplace, address, telephone number and email address.

III. PURPOSE OF THE PROCESSING

Personal data is processed for the following purposes:
1. Employees and job applicants: To fulfil the employment contract and our legal obligations as an employer; to process employment/assignment applications.
2. Translators of Norwegian literature resident in Norway or abroad: Reception and processing, as well as disbursement of, applications for study grants, travel allowances to come to Norway, fees, etc.; dispatch of newsletters and invitations.
3. Norwegian authors resident in Norway: Disbursement of travel allowances, fees and travel allowances etc. for assignment/reading abroad.
4. Employees of publishing houses and agencies (in Norway and abroad), festivals, trade fairs and other external partners and other relevant contacts: Marketing and invitations. Reception and processing, as well as disbursement of, grants (via various schemes such as travel grants for authors, translation grants for the publication of Norwegian books).

IV. THE BASIS FOR PROCESSING

The basis for the processing of personal data is follows:
Section I: Performance of a contract (GDPR article Art 6 (b)) and a legal obligation (Art 6 ©, 6 (f) and 9 (d)).
Section 2–3: Performance of a contract (GDPR article Art 6 (b)) and consent (Art 6 (a)). The authors and translators can refuse to receive information from us at any time.
Section 4: Performance of a contract (GDPR Art 6 (b), 6 (f) and 9 (d)) and consent (Art 6 (a)). Our contacts can refuse to receive information from us at any time.

V. COLLECTION OF PERSONAL DATA

NORLA collects a limited amount of information from cookies on our website norla.no, booksfromnorway.com and norway2019.com/en.
The personal data is obtained from:
1. Employees: The data subject; public agencies such as the Norwegian Tax Administration and the Norwegian Labour and Welfare Administration (NAV).
2. Job applicants: The data subject.
3. Translators of Norwegian literature resident in Norway or abroad: The data subject, the Norwegian Tax Administration
4. Norwegian authors resident in Norway: The data subject, the Norwegian Tax Administration
5. Employees of publishing houses and agencies, festivals, trade fairs and other external partners and other relevant contacts: The data subject.

VI. DISCLOSURE OF DATA TO THIRD PARTIES

In order to be able to fulfil our obligations under the agreement, the necessary information is disclosed to:
1. Employees: Our partners for accounting, insurance, pension and data services (server and email system), as well as to NAV and the tax authorities.
2. Translators of Norwegian literature resident in Norway or abroad: Our partners for accounting, insurance, pension and data services (web development, server and email system), as well as to NAV and the tax authorities.
3. Norwegian authors resident in Norway: Our partners for accounting, insurance, pension and data services (web development, server and email system), as well as to NAV and the tax authorities.
4. Employees of publishing houses and agencies, festivals, trade fairs and other external partners and other relevant contacts: Our partners for data services (web development, server and email system).

VII. DELETION OF PERSONAL DATA

Information that we are obliged to retain under the Norwegian Bookkeeping Act will be stored for up to five years in accordance with the prevailing statutory requirements. Otherwise the following applies:
1. Employees and job applicants: As long as the employment relationship lasts; after the application has been processed.
2. Translators of Norwegian literature resident in Norway or abroad: As long as the translator is active as a translator; until consent is withdrawn.
3. Norwegian authors resident in Norway: As long as the author is active as an author; until consent is withdrawn.
4. Employees of publishing houses and agencies, festivals, trade fairs and other external partners and other relevant contacts: As long as the data subject is employed by the publishing house or by a relevant business: until consent is withdrawn.

h3. VIII. YOUR RIGHTS AS DATA SUBJECT

We process your personal data in accordance with the General Data Protection Regulation (GDPR), the Norwegian Personal Data Act and applicable regulations. Please note that you can request to view and remove personal data relating to you, or that such data be corrected or deleted.
Complaints regarding processing in contravention of the regulations should be addressed to the Norwegian Data Protection Authority.

IX. INFORMATION SECURITY

We secure your personal data through both physical and virtual access control.
